Administrative Assistant
On behalf of our client, a world leading IT company, we are looking for an Administrative Assistant who performs a variety of complex administrative functions for all levels of management including external business partners. Manages schedule(s), coordinates travel arrangements and processes business expenses. Coordinates meetings and events, department financial operations, personnel operations, and facility operations. Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. Provides general office support. Serves as the department/group contact. Completes special projects as assigned.
This is a contracting role to be based in Zurich.
Responsibilities:
- Coordinate and maintain executive schedules, including scheduling appointments, making travel arrangements, and organizing meetings.
- Manage communication between executives, employees, and external stakeholders.
- Welcoming new hires and helping them acclimate to the company's culture and environment.
- Organizing team events to foster team spirit and collaboration.
- Supporting onsite candidate interview experience and coordinating with hiring managers and recruiters.
- Liaising with facilities and anticipating the needs of the team to ensure a smooth and efficient work environment.
- Foster a positive and inclusive work culture.
- Ensuring smooth operations of the office, including maintenance, supplies, and equipment management.
- Handle confidential information and sensitive matters with discretion and professionalism.
Qualifications:
- Bachelor's degree in business administration or related field.
- 5+ years of experience as an Executive Assistant or Administrative Assistant.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Excellent communication and interpersonal skills
- Strong organizational and time-management skills.
- Self-starter with an entrepreneurial spirit and a hands-on approach.
- Experience in a startup environment is a big plus.
- Proven ability to manage complex tasks and prioritize competing priorities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
